For any SME owner or freelancer in Mexico, issuing an electronic invoice can seem like a routine task. However, with the implementation of CFDI 4.0, the margin for error has been drastically reduced. It is no longer enough for the data to "look like" the client's information; validation is now exact and rigid.
The real problem is not just the time lost resending emails, but the financial risk. A rejected invoice means a delayed payment and, in the worst-case scenario, complications with the SAT when declaring income or attempting to deduct expenses. If your clients are returning invoices or the system is flagging constant errors, you are likely falling into the most common validation failures.
The most frequent error in CFDI 4.0 is the discrepancy between the name or business name and the recipient's RFC. Unlike previous versions, the system now validates that the name matches exactly with the Tax Status Certificate (Constancia de Situación Fiscal).
Many entrepreneurs make the mistake of writing the client's name as it appears on their business card or contract. But for the SAT, the name must be written exactly as it appears on the certificate, respecting capitalization and omitting the corporate regime (for example, do not add "S.A. de C.V." if the certificate does not include it in the name field).

Another critical point is the relationship between the recipient's Tax Regime and the "CFDI Use." If you choose a use that is not compatible with the client's regime, the invoice may be rejected or, worse, not be deductible for the receiver.
The "CFDI Use" is the key that tells the authority what the money was spent on. A common error is marking everything as "General Expenses" for convenience.

Immediate Action: Always request an updated Tax Status Certificate (not older than three months) before issuing the invoice. Do not trust the data the client sends via WhatsApp or email if it is not backed by the official document.

The Risk of Incorrect Cancellation: If you cancel an invoice without relating it correctly, you can generate a discrepancy in your accounting, making it appear that you had income that later disappeared without justification, which could attract audits.
Confusing the "Payment Method" with the "Payment Form" is a classic error that causes friction with your clients' accounting departments.
The Fatal Error: Issuing an invoice as PUE when the client has not paid you and the month has already ended. This forces the issuer to declare income that has not been physically received, paying taxes on money they do not have.
Golden Rule: If payment is not immediate, always use PPD and, once you receive the money, issue the corresponding Payment Complement (Complemento de Pago). Do not omit the complement, as it is the only way your client can credit the expense.
Electronic invoicing should not be an obstacle to your business growth. The key to avoiding rejections is standardization. Do not let haste lead you to skip the review of the Tax Status Certificate.
